Key concepts
Three minutes of reading to understand the words that show up again and again in the app.
Negocio
A negocio (business) is what you sell. It can be a restaurant, a café, a bar, a dark kitchen — the basic unit Nexta operates with. Everything you load (products, tables, orders, invoices, coupons) lives inside a business, separate from the rest.
Each business has:
- A public menu web address:
nextapos.com/menu/tu-negocio. You choose it when you create the business. - A plan (FREE / STARTER / PRO / ENTERPRISE) that defines how many products, team members and orders per month you can have.
- A status (active, trial, suspended) that controls whether it can operate.
Several businesses with one account
A single account can belong to several businesses. The selector in the sidebar switches between them without logging you out.
Team and role
A team member is a person with access to your business. Each one has a role that defines what they can see and do:
| Role | Who it's for |
|---|---|
| Dueño | You. The only one who sees the financial dashboard and billing. |
| Administrador | Right-hand person. Everything operational except the Dueño's financial data. |
| Trabajador | Cashier / waiter. Only the day-to-day stuff. |
| Cliente | Person who orders online (does not enter the admin panel). |
More detail in Roles y permisos.
Product
An item you sell. It has a name, price, optional stock, image, category and can offer sizes and extras (toppings).
- If you don't set stock, the product is sold without counting units (a coffee, for example).
- If stock reaches 0 it is automatically hidden from the public menu.
- Every stock change is recorded in the history.
Category
Groups products in the menu and loads the available extras. Extras (dressings, toppings) are linked to the category — so "Hamburguesas" adds cheese and "Helados" adds sprinkles without having to set up the combination product by product.
Table
A physical (or virtual) point of sale. Each table has its own cart: whatever the waiter adds to it is kept until they charge.
- Mostrador is a special table that Nexta creates automatically — the POS uses it for quick sales that don't go to a physical table (takeout, counter).
- Optional zone to group tables (Terraza, Salón, Barra).
Order
What is sold. It has items, status, table, optional coupon and optional tip. Online orders and staff orders share the same model — you see them all together in the panel.
Typical statuses:
- Pendiente → Confirmado → En preparación → Listo → Entregado.
- Or: Anulado (with a reason) if it was never charged.
Cash session
A work shift. When a cashier opens the register, an active session is created with an opening amount; when it is closed, the system calculates:
- Total sold by method (cash / transfer / card).
- Tips and discounts of the shift.
- Difference between what was expected and what was counted.
Financial reports are calculated by session, not by calendar date.
Invoice
When you charge an order (or several orders from the same table together) an invoice is generated — a receipt with the business's own sequential number, with all items, table, tip, discount, coupon, total and the business details for printing.
Invoices cannot be modified: if the menu changes later, the invoice keeps the prices and names that were charged at that moment.
Extras (toppings)
Add-ons added when ordering. They have optional stock of their own — useful when the extra is scarce (the last avocado bowl of the day). If it runs out it is hidden from the public menu.
Coupon
Promotional code. It can be percentage (20% off) or fixed ($5.000 off), with options for a minimum purchase, maximum uses and an expiration date.
Coupons are validated at checkout and apply a discount on the subtotal.
End customer
The person who orders online. They have an account separate from team members — they sign up on their own from the public menu and do not enter the admin panel. They can:
- Create an account and verify their email.
- Place orders from the storefront.
- Book a table.
- Check their history.
