Module: Conteo de inventario
Adjusting stock one product at a time (from the product card) is fine for fixing something specific. For a real storeroom it doesn't work: nobody is going to open 80 cards and subtract unit by unit. The inventory count is the opposite operation — one person walks the whole catalog, counts what is physically there, and at the end all the differences are applied at once.
How it works
The count has one central idea that makes it safe: you write down what is physically there, not the differences.

If you write "there are 12", the system doesn't trust the stock it had recorded when you started counting: on applying, it calculates the difference against the stock at that moment. That's why you can count calmly while things are being sold — the result is still correct.
Why this matters
You opened the count with 10 coffees in the system. While you were counting, 3 were sold. You count 10 (the ones you see on the shelf). On applying, the stock ends at 10 and a +3 movement is recorded. The sale stays accounted for and the physical inventory is correct.
The two numbers are stored separately:
- Esperado — the stock the system had when the count was opened. It's used to measure the shrinkage (the difference between what should have been there and what was there).
- Contado — what you wrote.
The steps
1. Open the count
From Inventario → Conteo. You choose the scope:
- The whole catalog, or
- a single category (more convenient if you count by section).
You can write a note (e.g. "cierre de mes"). On confirming, the system freezes the expected stock of each product in scope.
2. Count
A sheet with all the products, designed for the phone: one row per product with the expected stock and a large numeric box to type what you counted.
- You type the number and press Enter (or tap outside the field): it saves itself and moves to the next line.
- Each line is marked as you count it: green if it matches the expected value, amber if it differs.
- The bar at the top shows progress ("14 de 38 contados").
You can leave it half-done and continue later. The count is saved on the server: if the browser closes, the internet drops or the shift changes, it picks up exactly where it was.
Three filters help you move along: Sin contar (the ones missing), Con diferencia (the ones that already deviated from the expected) and Todos.
One count at a time
Two counts can't be opened in parallel in the same business. If one is in progress, the start button tells you which one.
3. Review and apply
When you finish, the Dueño or the Administrador reviews the summary before confirming:
- Sobrantes (how much extra there is).
- Faltantes (how much is missing) and how many lines with merma.
- A activar: how many products had no stock control (see below).
- The table with product → expected → counted → difference, line by line.
Only the lines that differ are written; the ones that match are marked as counted but don't move anything. You can leave a note before confirming.
On applying, everything happens in a single transaction: either the whole count is adjusted, or nothing is. Each line with a difference leaves a movement in the stock history with the reason "Conteo de inventario", and the POS and the online menu update instantly.
Products without stock control
A product has uncontrolled stock when its box is empty on the product sheet: in the system it shows as "ilimitado" and doesn't go down when it is sold.
These products are included in the count anyway, marked as "sin control de stock". Counting them turns control on for them: on applying, they are assigned the stock you counted and start being deducted with each sale.
It's the most practical way to start stock control for the whole catalog at once.
Reviewing previous counts
Below the count sheet is the Conteos anteriores section: the complete history, not just the latest ones.
Finding a count
- Status filters — Todos, Aplicados, Descartados and En curso. Each filter shows how many there are, so you know whether it's worth looking before opening it.
- Search box — search by the count's note or by who counted and who applied (works with name or email). E.g.
cierrefor the monthly count,anafor everything Ana counted. - Pagination — older counts are on later pages; they aren't lost.
Reading a count
Tap any row to open its detail:
- Summary — how many lines were counted, how many differ, how much was over, how much was short and how many lines are shrinkage.
- Who and when — who counted, who applied it and on what date and time.
- Three tabs — Con diferencia (what you really care about), Todas and Sin contar.
- Product search — type a name and that line appears instantly. It searches across all lines, not just the open tab.
- CSV — download the complete count (product, category, expected, counted, difference, stock at application and adjustment applied) to move it into Excel or send it to the supplier.
Difference vs applied adjustment
On a line you will see two numbers, and sometimes they don't match. Dif. is against the stock frozen when the count was opened: it's the shrinkage. Aplicado is the real change to the stock, which accounts for what was sold while counting. The screen explains this below the table when there are lines of both types.
If the count is still En curso, the row has a Seguir contando button that takes you back to the sheet.

The separation is on purpose: the Trabajador is the one who does the physical count (it's the storeroom shift), but applying it moves the stock of the whole catalog, so it stays in the hands of the Dueño or Administrador. The Cajero can also open and fill in a count, and with it the Panel and Movimientos subpages of Inventario, but never applies it. When the Trabajador or the Cajero finishes, the system tells them to wait for the review.
Designed for the phone
The Trabajador has no access to the catalog, but does have access to Inventario → Conteo: they enter through the Inventario item in the sidebar and land directly on the count, which is what they're there for. It is designed for counting on your feet with the phone in your hand.
Common problems
"I made a mistake on a line, how do I fix it?" Type the correct number and press Enter. If you want to leave the line uncounted, clear the contents of the box: it goes back to "sin contar" and isn't applied.
"We sold things while I was counting, won't the adjustment come out wrong?" No. The adjustment is calculated against the stock at the moment of applying it, not the one from when you opened. See the table above.
"My browser closed halfway through" Nothing was lost: the count is saved line by line. Go back to Inventario → Conteo and continue.
"I don't want to apply anything, I picked the wrong scope" Discard the count with Descartar. It doesn't touch the stock of any product.
"Does it show up in the history?" Yes. Each applied line generates a movement with the reason "Conteo de inventario", and the full session stays in the count history on the same screen, with its line-by-line detail.
"What if I do more than 20 counts?" Nothing happens: the history is paginated. Use the search box or the status filters to reach the one you're looking for without scrolling through everything.
